Five approval bottlenecks slowing finance teams down

August 28, 2026 · Financial management · 5 min read

Most finance delays are not about math. They are about missing context, unclear ownership and approval paths that made sense when the company was half its current size.

1. The approver is always the founder

Early on, every expense routes to one person who knows every project and vendor. That works until volume makes it a full-time interruption. The fix is not to abdicate — it is to delegate with thresholds: managers approve below a limit, finance reviews above it, leadership only sees exceptions.

2. Receipts arrive after the decision

Approvers say yes to a concept, then finance discovers the receipt does not match, the vendor changed, or the project code was wrong. Require the minimum supporting detail before submission — amount, vendor, purpose, project — even if the receipt photo comes later.

3. Nobody knows what “pending” means

“Waiting on approval” is too vague. Is it with a line manager? Finance? On hold for clarification? Teams need a visible status and a named next step. Without that, submitters chase people who already approved, and approvers assume someone else handled it.

4. Policies live in people’s heads

When approval rules are tribal knowledge, new hires guess wrong and veterans cut corners. Write simple rules: who approves travel, what requires a quote, when procurement must be involved. Then encode those rules in your workflow so the system enforces consistency.

5. Finance learns about spend too late

If approvals happen in chat and payments happen in banking apps, finance only sees the impact at month-end. Connecting requests, approvals and payment records in one place gives you a running view of commitments — not just history.

Design principles that actually help

Approval workflows on Professional plans and above can route expenses, leave and other requests based on amount, department or role — so finance spends less time chasing and more time on work that requires expertise.

If approvals are the bottleneck in your finance process, start by mapping one request type end-to-end. Fix that path first. Everything else gets easier once status and ownership are clear.
